The following list/timeline is based on the standard transaction of 30 days. If closing is sooner or later our systems will update and timelines are provided based on the specific dates of the contract given to us.
1. File is Received by Contract 2 Closings, Inc. via file submittal form on www.contract2closings.com from client (agent). The Transaction Coordinator (TC) assigned to the client (agent) will gather all necessary data, compile the fully executed purchase documents, and make note of important dates for the transaction.
2. Prepare introductions to go out to each involved party in the transaction. This email will include all necessary documents, important dates, contacts, and information for the file.

3. Once all introductions have been sent we will confirm that all inspections are set and that the Earnest Money Deposit is being handled in a timely manner. A copy of the EMD will be shared with all necessary parties.
4. Follow up on inspection completion and ensure that any required addendums are fully executed and shared with all necessary parties.
5. We will initiate compliance and request approval, then submit to the brokerage. Client to provide instructions for the compliance process per their brokerage.
6. Ensure accuracy of fully executed compliance file.
7. Ensure that both title companies have been introduced. (If split title)
8. Check on the ordered, scheduled and due back date on the appraisal with the lender.
9. If the loan is an FHA or VA loan, request, from the lender, the FHA/VA amendatory clause form and ensure the pest inspection report is distributed (if applicable). Send out to all parties to execute.
10. If a file requires a home warranty, and we are to provide it, the Transaction Coordinator will order the HW and provide the invoice to all parties. Note-We will need the clients (agents) login information to any/all accounts to order home warranties.
11. Check in with the title company to ensure they have ordered and received the title commitment and HOA status letter (if applicable). We will assist in obtaining a completed payoff authorization for seller files.
12. Assist title with clearing conditions.
13. If there are any issues with the appraisal, we will allow agents to re-negotiate and assist in paperwork, if needed.
14. After the appraisal has been completed and results have been shared – there’s a pause for underwriting.
15. Send out a transaction update email to *All Parties* including any important dates/documents and changes to the contract. (This is typically done a week or 2 before closing)
16. Request updates from lender and title ensuring all conditions are clear and assist with paperwork/documents/addendums, etc to help clear any outstanding conditions.
17. Once the file has obtained the clear to close the Transaction Coordinator will assist in organizing the closing. (time/date/location) TC will send a closing email to all parties to confirm closing details. A Google Calendar invite will be sent to all parties, as well.
18. Transaction Coordinator will send a closing preparation email to the buyer/seller to go over the final steps prior to closing. This will go over the following:
Buyer File:
Time/Date/Location of the closing
Schedule Final Walk Through
Setting up Utilities (by closing or occupancy date)
Reminding them to follow up with their lender to obtain their final numbers so they know their amount to close.
Remind them, if they choose to wire their funds, to have this done 24 hours prior to closing.
Seller File:
Time/Date/Location of closing
Remind them the buyer will be performing a final walk through before closing.
Remind them to leave utilities on, in their name, until day of closing/occupancy.
Request to have keys, remotes, warranties etc readily available for buyer at closing.
If a prelim settlement statement has been received, share with the seller. (see #19)
19. Request for Preliminary Settlement Statement from Title to review. Seller Files: Once the client (agent) approves the settlement statement TC will share a copy with the seller.
20. Follow up with the lender and title to ensure all parties balance and documents are ready for the closing.
21. Follow up with the title company – If they have not done so already, to send buyers the wiring instructions in a secured form, so they can send funds at least 24 hours prior to closing.
22. Happy Closing!! Contract 2 Closings, Inc. will send an invoice to you upon completion of the closing.
After the Closing - Occupancy/Key Exchange - additional $50 charge
We will assist in reminding the client (agent) of occupancy/key exchange date.
We will assist in sending Key Exchange/Escrow Release Form to seller/buyer and will send to the appropriate title company/companies.
We will assist in forwarding final water bills to the title companies, too.
